Gulfshore Playhouse, a mission-driven, professional theatre company located in Naples, Florida, is seeking a dynamic, detail-oriented and organized individual to serve as Production Office Assistant.


Gulfshore Playhouse offers a diverse season of straight plays and musicals ranging from venerated classics and Broadway hits to contemporary works and world premieres. Gulfshore Playhouse is passionately committed to producing high-quality, professional theatre which exceeds the expectations of the cultured residents and visitors of Naples, FL, many of whom are regular theatre patrons in New York, Chicago, Boston, Philadelphia, and Washington, D.C.

The Gulfshore Playhouse opened the Baker Theatre and Education Center, a state-of-the-art facility, featuring a 350-seat mainstage with a Broadway-sized stage, a 125-seat flexible space, rehearsal studios, classrooms, and rental space in October of 2024.  In 2022, Gulfshore Playhouse became nationally recognized as the 77th member of the League of Resident Theatres (LORT). This is an extraordinarily exciting time for the  Gulfshore Playhouse, which is experiencing unprecedented growth in a collaborative and creative community.

Status: Full-time, year-round position, Overtime Exempt
Start Date: September 1, 2025

The Production Office Assistant will work closely with the Director of Production and Associate Production Manager on day to day operations of the PM team.   This includes assisting with managing the production process,  recruitment, orientation of new employees, tracking financial information, tracking payroll information.  

The ideal individual will have a strong drive to provide high-quality work, the ability to exercise good judgment in a variety of situations, strong written and verbal communication, organizational skills, and the ability to work as part of the team. Gulfshore Playhouse values hard work, kindness, generosity, passion, and grace-under-pressure. Employee will be expected to work extended hours on occasion when necessary to meet goals. Some weekend and evening hours are required including attendance at technical rehearsals, performances, special events, and/or meetings that may happen outside normal scheduled hours. 

Skills:

  • Proficiency with Google Suite and familiar with Microsoft Suite
  • Exposure to accounting principles
  • Ability to organize budgets and expense reports
  • Experience leading small teams on a variety of production tasks
  • Exceptional organizational and time management skills
  • Ability to effectively communicate both orally and in writing to every member of production staff
  • Creative problem-solving
  • Ability to manage time and productivity effectively
  • Ability to multitask and achieve tight deadlines

Duties:

  • Assisting the Production Management team in all areas including paperwork, emails, scheduling, recruiting, and purchasing
  • Assisting the Production Management team by facilitating communication between design teams and the production team by creating all paperwork needed to support the production teams
  • Attending rehearsals, calls, meetings, and performances as required
  • Attend meetings and take notes to ensure the smooth operation of all productions and  shops
  • Assist in preparations for first rehearsals, and tech.
  • Helping to keep spaces and storage areas in good clean and working order
  • Assist in the day to day operations of the production shops
  • Maintaining a stock of necessary office supplies for the production shops and stage management teams
  • Ordering specific items or services according to production needs
  • Participating in load-in and strike as necessary
  • Provide assistance in other departments as needed.
  • Any other duties as assigned 

Recruiting and Onboarding

  • Assisting with recruiting and hiring full time and seasonal production staff members.
  • Manage applicant tracking of resumes.
  • Assist in organizing recruiting trips and events.
  • Assist in onboarding new staff with keys, computers, IT needs etc.

Scheduling & Space Management

  • Assist in creating and maintaining all production calendars using Propared software.
  • Assist in scheduling all production uses in Baker Theatre and Education Center in collaboration with Events Director and Facility Manager
  • Assists in creating and maintaining a production schedule with all relevant deadlines for each department in design and production teams

Safety

  • Assist in creating a culture of safety by assisting in the creation of safety policies as well as enforcing and updating policies.
  • Maintaining the stock and ordering of safety supplies with Associate Production Manager and Facility Manager.
  • Adhere to all safety protocols at all times

Financial

  • Collect, check, and reconcile all production expense reports.  Working with Finance to answer any expense questions.
  • Organize, collect, and check all hourly timesheets for production staff.  

Qualifications:

  • Excellent written and verbal communication skills
  • Ability to prioritize and self-start tasks
  • Advance skill in Microsoft Excel and G-Suite programs
  • Sensitivity and respect for private and confidential information
  • A level-headed and empathetic approach to personnel management
  • Familiarity with Actors Equity and United Scenic Artists agreements
  • 1 years of experience in the field
  • BA or equivalent work experience
  • Ability to lift and carry up to 50 pounds of equipment
  • Ability to climb, ladders, mobile lifts, catwalks and work at heights
  • Ability to work in dark spaces
  • Ability to stand for long periods of time depending on assignment
  • Ability to work in and with proper personal protective equipment

Salary range: $19/ hr   Overtime after 40 hours
